    Why Understanding Your Budget Matters

Your NDIS budget is divided into categories for good reasons:

    • Prevents underspending — Knowing what each category covers helps you use all available funding before plan end.
    • Avoids overspending — Clear budget limits and tracking prevent exhausting funds too early.
    • Supports plan reviews — When you understand your budgets, you can provide better evidence for funding changes or increases.
    • Reduces stress — Clear knowledge means fewer surprises, declined claims, or provider payment issues.

Who helps: Nominees and Support Coordinators often help participants interpret budgets, plan spending, and track progress toward goals.

    Overview of NDIS Budgets

The NDIS divides funding into three main categories, each with different rules and flexibility:

    Core Supports

Daily living, transport, consumables, and community participation. Most flexible category.

    Capacity Building

Skills development, therapies, employment support. Tied to specific goals and line items.

    Capital Supports

Assistive technology, home and vehicle modifications. One-off high-cost items.

Key point: Each category has its own NDIS support item codes. Using the wrong code can cause payment delays or rejected claims.

Core Supports — Everyday Living and Essential Needs

What it covers: Supports for daily activities, getting out in the community, and essential living needs.

    Common Core Support Items

    • Assistance with Daily Life — Support workers who help with personal care, meal prep, cleaning, shopping.
    • Transport — Taxi vouchers, rideshare funding, mileage reimbursement for attendant care transport.
    • Consumables — Continence products, low-cost assistive technology (under $1,500), everyday items.
    • Social & Community Participation — Group activities, recreation programs, community access support.

    Flexibility Within Core

Core is the most flexible budget category. You can generally move funds between sub-categories (e.g., use more on transport and less on consumables) as long as supports remain reasonable and necessary for your goals.

Example: If your Core budget is $25,000, you might spend $18,000 on support workers, $4,000 on transport, and $3,000 on consumables. This is flexible as long as total Core spending stays within $25,000.

Capacity Building — Developing Skills and Independence

What it covers: Supports that build your skills, independence, and connections to help you reach your NDIS goals.

    Common Capacity Building Items

    • Support Coordination — Help finding providers, coordinating services, tracking your plan.
    • Therapies — Occupational therapy, physiotherapy, speech pathology, psychology.
    • Exercise Physiology — Physical fitness programs tailored to your disability.
    • Plan Management — Fees for your plan manager (Forward Planning Plus) to handle invoices and budgets.
    • Employment Support — Job coaching, workplace modifications, skill training.
    • Life Skills Training — Cooking classes, financial literacy, independent living skills.

    Limited Flexibility

Unlike Core, Capacity Building funds are often tied to specific line items linked to your goals. You generally cannot move funding from therapy budgets to employment support without NDIA approval.

Plan manager role: We track each line-item code to ensure therapies are billed correctly and prevent accidental budget crossovers that trigger claim rejections.

Capital Supports — Big-Ticket Items and Equipment

What it covers: High-cost assistive technology and modifications that you'll use for several years.

    Common Capital Items

    • Assistive Technology — Wheelchairs, communication devices, hearing aids, prosthetics.
    • Home Modifications — Ramps, bathroom grab rails, accessible kitchen modifications, widened doorways.
    • Vehicle Modifications — Wheelchair hoists, hand controls, accessible vehicle conversions.

    Strict Approval Process

Capital items require evidence before purchase:

    1. Assessment report from OT or relevant therapist
    2. Three quotes for items over a certain threshold (usually $1,500)
    3. NDIA pre-approval for expensive items (e.g., home mods over $20,000)
    4. Exact match between approved item and final invoice

Warning: Buying Capital items without proper approvals or quotes can result in rejected claims, meaning you pay out-of-pocket. Always check with your plan manager or Support Coordinator first.

    Budget Flexibility and Rules

Understanding what you can and can't move between budgets prevents claim errors and funding gaps.

How to Check Your Funding Balance

Checking your budget regularly helps you avoid overspending or missing out on supports.

    3

    Contact Your Support Coordinator

Support Coordinators can pull reports from the portal and help you interpret budget figures, especially if you're planning to add new supports.

Recommended frequency: Check balances weekly if you're using supports regularly, or at least monthly to avoid surprises.

    Avoid These Common Budget Mistakes

    Using Funds for Unapproved Supports

Buying supports not linked to your goals or plan can result in rejected claims.

Fix: Always check with your plan manager or SC before purchasing new supports.

    Double Claiming

Submitting the same invoice twice (accidentally or through multiple managers) triggers NDIA audits.

Fix: Use one plan manager for all invoices to prevent duplicates.

    Ignoring Budget Alerts

Running out of funds mid-plan forces you to either pause supports or request an urgent plan variation.

Fix: Set up monthly budget check-ins and respond promptly to low-balance alerts.

    Not Checking Line Item Codes

Providers sometimes use incorrect NDIS codes, causing invoices to be rejected or debited from the wrong budget.

Fix: Your plan manager reviews every invoice and queries incorrect codes before payment.
